About Us:

Gillmor Pensions and Investments is a reputable life and pensions brokerage committed to providing exceptional financial solutions to our clients. We are currently seeking a dynamic and organized Part-Time Assistant to support the managing director in ensuring the smooth operation of our brokerage.

Job Responsibilities:

  1. Administrative Support:
  • Provide administrative assistance to the Manager, including managing schedules, appointments.
  • Prepare and edit documents, reports, and presentations as needed.
  • Handle general correspondence and communication on behalf of the Manager.
  1. Client Interaction:
  • Act as a point of contact for clients, ensuring a professional and positive experience.
  • Assist in managing client inquiries, and ensuring timely responses.
  1. Data Management:
  • Maintain accurate and organized records, databases, and filing systems.
  • Assist in data entry and management of client information, policies, and transactions.
  1. Meeting Coordination:
  • Schedule, coordinate, and prepare materials for meetings, both internal and external.
  • Attend meetings as required, taking minutes and following up on action items.
  1. Collaboration:
  • Collaborate with various companies to facilitate effective communication and workflow.
  • Liaise with team members to ensure projects and tasks are progressing according to deadlines.


  • Previous experience in administrative or assistant roles preferred.
  • Excellent organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Ideally familiar with Wealthtrack CRM or similar.
  • Ability to handle confidential information with discretion.
  • Knowledge and interest in the life and pensions brokerage is required.
  • QFA is a plus but not essential.
